Job Description

The Administrative Coordinator position will report to and support the SVP, North America Commercial Operations.  This position will also support the Executive Director of North America Business Operations.

Essential Duties and Job Functions

• Provide full spectrum of administrative support for the Vice President, Sales and Marketing, Inflammation Business Unit.   
• Prepare, triage and route for approvals expenses and other standard Gilead policy-based submissions.
• Planning and contracting of onsite and offsite meetings.
• Administrative support for interview processes, which includes creating, and distributing agendas, collecting assessment forms and scheduling and making candidates travel arrangements.
• Ensures all equipment and new hire materials are arranged for new hire onboarding or off boarding of employees   

• Facilitating questions from the business unit regarding general internal questions and connecting with the appropriate departments, such as IT, Payroll, Facilities, Accounts Payable, HR.

• Maintaining and managing the VP’s calendars and managing all aspects of US and global travel arrangements.

• Liaising with external agencies and organizations to coordinate meetings with the VP, as requested.

• Support for developing and/or editing memos and presentations on behalf of the VP and Leadership team as identified.

• Coordinating with other admins within the Commercial organization, especially with those members supporting the US Commercial Leadership Team.

Knowledge, Experience and Skills

• Requires a minimum of a high school diploma plus 8+ years administrative experience.

• Strong verbal, written, and interpersonal skills are required.

• Intermediate to Advanced knowledge and experience using a number of office software such as Excel, PowerPoint, Word, Access, etc...

• Requires knowledge and understanding of administrative and office policies and procedures.

• Refers to specific and detailed procedures and instructions.

• Typically works under limited supervision and may receive general direction on new lines of work or special assignments. Astute cultural sensitivity, as this position will interact with executives and admins around the world.  Ability to work with others in a diverse working environment.
