T&E, P-Card and Payments Analyst

The Gilead Business Services center in Raleigh’s Research Triangle region will be home to some of the company’s critical shared service teams in North America, including Information Technology, Global Financial Solutions, HR Operations and Procurement Services Desk. These functions provide the necessary support to ensure Gilead’s business runs effectively and efficiently. The center will also be a catalyst for standardization of processes, digital transformation and technology optimization.

Job Description

The T&E, P-Card and Payments Analystreports to the T&E, P-Card and Payments Manager with responsibility for operational execution related to North American T&E, Corporate Card and P-Card program as well as supplier disbursement service delivery.

The focus of the role is to support and execute T&E, P-Card and Payments processes, procedures and tasks, related compliance and end-user support.;execute activities aligned to best practice, leveraging oneglobal card provider,single instance ERP, Concur and Swift, optimize P-Card adoption, and provide positive user experience and value to Gilead.

The successful candidate will be expected to be highly self-motivated and innovative, with proven ability to successfully support a world-class T&E and disbursement program providing best practice service delivery and actionable business insights.Be an advocate to digitalize and automate Global T&E processes throughdata andanalytics, RPA, AI, and other emerging technologies to create capacity, increase efficiency, quality and control of our processes. Maintain process integrity, internal controls, and ensure compliance with the Controller’s Manual and all applicable laws and regulations. Accountability for service delivery against agreed and evolving KPI’s and Service partnership agreement. 

Key responsibilities include:

  • Execute end-to-end T&E and disbursement processing as part of aglobal operating model. 

  • Perform clerical duties such as: mail distribution, filing, and completing forms or reports. 

  • Answers T&E, P-Card and Payments inquiries by clarifying desired information; researching, locating, and providing information. 

  • Resolve problems by analyzing reports, apply good judgment and escalate unresolved issues. 

  • Actively participate in process improvement initiatives. 

  • Maintain process integrity, internal and SOX controls, and ensure compliance with the Controller’s Manual and all applicable laws and regulations. 

  • Accountable for service delivery against agreed and evolving KPI’s andservice partnership agreement 

  • Supportstrategic andcross functional projects. 

  • Act as the point of contact to resolve T&E, P-Card and Payments issues and escalations withbusinesspartners

  • Collaborate and partner with cross functional business partners and International colleagues to identify and implement options to improve thequality of servicedelivery from a global perspective and pursue opportunities for global process delivery in line with best practice.

  • Delivery of process related training 

  • Support development of global process maps; desk-top manuals and documentation  

  • Other duties asassigned

Basic Qualifications:

  • High School and6Years’ Experience ofPTP, T&E and/or Payments best practice programs,orAssociate Degree and 5 Years’ Experience, orBachelor's Degreein Finance or Accounting and 4 Years’.

  • Strong analytical skills and a critical thinker; must have the ability to use excellent judgment and resolve issues with dexterity and effective decision making.

  • Knowledge of SOX and Internal Controls

  • Extensive knowledge of SAP or best practice ERP system’s is required.

Preferred Qualificationsand Experience:

  • Experience working in amultinational orglobal Financeorganization

  • Experiencein biotech or pharmaceuticals industry aplus
