The Position

The Global Delivery Operations Center is hiring a motivated Young Talent to support our Center Lead and Leadership Team.

This role is critical for the support of the Global Delivery Operations organization and will allow to get an understanding of general business and organization of a company. The individual selected must look for continuous acquire of new competencies bringing professionalism and confidentiality. It will be critical for the individual to foster strong relationships and collaboration across other Organizations and Markets in Organon.

The Organon Global Delivery Operations Center has a large cross-functional staff delivering Financial, HR and other services for the entire Organon global enterprise. The Center will frequently host visitors and meetings of stakeholders and internal customers from other Organon organizations around the world and the incumbent will also support the welcome of these visitors at the Center, supporting the Center Lead and local management leaders, in cooperation with other functions.

Responsibilities

  • Maintaining an accurately organized schedule for the leader for both internal business as well as external committees and commitments. Use discretion in setting up and accepting appointments; gather pre-reads and background information when appropriate.
  • Coordinating meetings, assisting in agenda creation, and providing minutes when requested. Coordinating extensive multi-leg travel logistics (including global trips and visa preparation), teleconferences, and videoconferences. Supporting logistics for quarterly Town Hall meetings, off-site and special purpose meetings, and events.
  • Assisting with the coordination and material preparation for meetings and other communications.
  • Monitoring email and correspondence, for self and the leader, to keep apprised of current issues and situations, responding as appropriate, and tracking any follow-up that is needed. Tracking numerous documents requiring executive approval or attention daily.
  • Responding to requests and administrative deadlines as well as tracking deadlines and approvals. An understanding of how to navigate and utilize the HR, expense and purchasing systems is essential.
  • Creating and distributing highly confidential correspondence, presentations, and reports.
  • Maintaining appropriate filing system to provide prompt retrieval of all reports, correspondence, and other materials while maintaining compliance related to company retention schedules and legal holds.
  • Manage third-party subscriptions and resources, including renewals and memberships.
  • Collaborate with peer Leadership Team admins on an ongoing basis to align strategies, improve processes and foster a sense of community.
  • Ability to support other special projects as assigned.
  • Execute Reception duties at the Global Delivery Operations Center which hosts many visitors and meetings.
  • Oversight and procuring services management like food, cleaning, Office supplies, purchases, Badging, Security at the Service Center.

Required Education, Experience, and Skills

  • University studies
  • Fluency in English.
  • Self-starter whose work priorities and activities are reviewed with little supervision.
  • Strong organizational, prioritization and time management skills.
  • Ability to handle sensitive data with discretion and confidentiality.
  • Outstanding executive presence and effective business communications - both written and oral - are necessary for daily interaction with Leadership Team members, Markets, and external partners.
  • Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including significant interaction with internal and external multi-national executives and officials.
  • Displayed flexibility and sensitivity with others across other geographies, languages, and cultures.
  • Ability to problem solve through investigation and solution identification.
  • Proficiency in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote).. Ability to prepare and assist with PowerPoint presentations and manipulate / work with advanced Excel spreadsheets.

Preferred Education, Experience, and Skills

  • Other languages are also valued
  • Experience in ERP SAP valued.
